The Unit Secretary is responsible for accurately processing admissions, answering telephones, providing assistance to all individuals approaching nursing station, transcribing orders and assuring follow up completed on all orders.

Essential Job Duties and Responsibilities:

1.Processes admissions and all pertinent paperwork. Compiles admission packets

2.Answers the unit’s telephone promptly and professionally.

3.Files all medical record paperwork in chart as directed

4.Transcribes orders to medication administration records and treatment records

5.Transmits doctor’s orders to pharmacy.

6.Maintains nursing forms inventory.

7.Responsible for overall cleanliness and orderliness of nursing station.

8.Prepares necessary paperwork for Emergency transfers.

9.Makes copies necessary for dismissals.

10.Orders supplies, equipment, and equipment repairs, as requested

11.Follows work assignments and schedules.

12.Treats all patients, visitors, and staff with courtesy.

13.Attends and participates in in-service training, committees and other meetings as scheduled and directed.

KNOWLEDGE, SKILLS, COMPETENCIES, QUALIFICATIONS and EDUCATION AND/OR EXPERIENCE REQUIREMENTS:

1.High School diploma or equivalent education required. One year of medical secretarial school preferred.Medical terminology background required.

2.Two years of experience in a related field in the last 3-5 years is desired (medical secretary & receptionist duties).

3.Strong interpersonal skills necessary.

4.Writing skills as well as good grammar, punctuation and composition skills beneficial.

5.Typing skills required.

6.Ability to get along well with other people/coworkers/patients.

7.Ability to project a positive team attitude. Steady attendance. Flexibility in schedule.

8.BLS certification

PHYSICAL DEMANDS

1.Will be required to lift charts frequently requiring the ability to lift 10 pounds.

2.Must be able to exert at least 25 pounds of force to assist with patient moving.

3.Frequent standing, bending, walking and stooping involved.

4.Must possess and demonstrate critical thinking skills.

5.Dexterity: Frequent repetitive motion of hands/wrist involved.

6.Will be working in a clean, well-lighted area

7.May be required to deal with unpleasant environmental situations resulting from patient care or patient activity.

8.Hazards and Risks: Direct patient contact with possible exposure to communicable diseases, exposure to radiation, anesthetic scavenger gases and CRT.
