The Administrative Assistant, reporting to the Chief Financial Officer (CFO) and Chief Nursing Officer (CNO), is responsible for managing schedules, coordinating documentation, and providing administrative support to the hospital's senior management team. This position performs a variety of tasks to ensure the smooth flow of operations, including meeting preparation, communication development, and office organization. The Administrative Assistant also supports strategic initiatives, coordinates events, and assists with internal communications, while maintaining professionalism and adherence to hospital policies.

Administrative Support:

  • Manage schedules, coordinate meetings, and arrange appointments for senior management.
  • Prepare meeting agendas, facilitate staff meetings, and take meeting minutes for key hospital committees.
  • Answer and direct phone calls, take messages, and provide general assistance to visitors.
  • Coordinate parking permits and garage access for staff and respond to any parking-related inquiries in a timely manner
  • Draft internal and external communications, create PowerPoint presentations, and handle research tasks as needed.
  • Organize and maintain office spaces, ensuring efficient use of supplies and equipment.
  • Generate the monthly administrator/facilities on-call schedules and assist in creating informational fliers for patients, physicians, and staff.

Office and Documentation Management:

  • Maintain and update forms, printed documents, policy binders, and other key documents.
  • Open, process, and distribute hospital and senior management mail.
  • Handle filing and copying tasks for senior management as needed.
  • Coordinate supply orders for the office, ensuring stock levels are maintained.

Event Planning and Meeting Coordination:

  • Plan and execute meetings, events, and parties for the hospital and senior management.
  • Assist with preparation for board meetings and department head meetings, including CNO Leadership, environment of care, patient care committee, and other critical sessions.
  • Act as a member of the Mission Possible Committee, contributing to discussions and providing support as needed supporting their initiatives.
  • Organize and manage event logistics, including coordinating venues and resources.

Human Resources & Employee Engagement:

  • Act as a liaison between the hospital and USPI on Human Resources matters.
  • Support HR functions such as employee onboarding, maintaining bulletin boards, and assisting with employee suggestion box reviews.
  • Distribute bi-weekly paychecks, manage employee newsletters, and assist with new employee orientations.

Compliance & Performance Improvement:

  • Ensure compliance with hospital policies and regulations, including internal controls and performance improvement activities.
  • Adhere to the USPI Corporate Code of Conduct and demonstrate ethical behavior in all tasks.

Required Skills:

Education:

  • High school diploma or equivalent required.
  • Associate’s degree in business administration or completion of a clerical technical school preferred.

Licensure/Certification:

  • None required, though certification as an Administrative Professional (CAP) or similar is a plus.

Specific Job Experience:

  • At least 6 months of experience as an Administrative Assistant, preferably in a healthcare or hospital setting. 
  • Prior experience with meeting coordination and office management is preferred.
