Medical Assistant – Surgery Scheduling

Gastroenterology East, P.A. & Endoscopy Center is seeking a Medical Assistant (MA) to join our growing outpatient gastroenterology practice. This role supports both clinical care and surgical scheduling operations, playing a key part in delivering a seamless, patient‑centered experience in a fast‑paced endoscopy environment.

Position Summary

The Medical Assistant provides clinical, administrative, and scheduling support to physicians, nursing staff, and the operating room team. This role helps ensure efficient patient flow, procedure room readiness, and accurate surgical scheduling coordination, while maintaining high standards of quality, safety, and customer service.

Key Responsibilities

Clinical & Procedure Support

  • Prepare and manage procedure rooms, including room turnover, cleaning, and supply stocking
  • Support patient flow to and from procedure rooms and assist with patient positioning
  • Assist with patient care within the Medical Assistant scope of practice
  • Pull and stage case materials in appropriate areas
  • Demonstrate knowledge of aseptic and sterile technique
  • Maintain quality, safety, and infection control standards
  • Adapt quickly to changing patient and procedural needs
  • Consistently promote efficiency while exceeding patient and physician expectations

Surgical Scheduling & Administrative Support

  • Schedule all surgical procedures accurately and in a timely manner
  • Obtain and enter required clinical and scheduling information from surgeons or schedulers
  • Maintain awareness of departmental equipment and instrumentation limitations
  • Communicate block time utilization and scheduling needs with the OR Director/Administrator
  • Coordinate special equipment, instrument, supply, and staffing requests
  • Proofread and finalize daily surgical schedules prior to distribution
  • Communicate schedule changes to department leadership and team members
  • Prepare and distribute final surgical schedules for upcoming procedures
  • Refer scheduling conflicts or procedural concerns to the OR Director
  • Participate in BDP/QI initiatives and ongoing performance improvement activities
  • Cross‑train in front desk operations, including Switchboard, Insurance Verification, and Check‑In

Qualifications

  • High School Diploma or GED required
  • Current BLS certification required
  • Completion of Medical Assistant, CNA, or Patient Care Technician training program
  • Minimum of 1 year of clinical or patient care experience preferred
  • Strong organizational, planning, and multitasking skills
  • Excellent communication and customer service skills
  • Ability to work efficiently under pressure in a fast‑paced, team‑oriented environment
  • Professional telephone etiquette and attention to detail
