We are seeking a highly organized and proactive Business Office Coordinator to join our team. This role is vital to the efficient and compliant operation of our business office and supports the overall success of the surgery center through leadership in billing, scheduling, financial recordkeeping, and patient services.

Key Responsibilities


Billing and Revenue Cycle Management

  • Oversee daily billing operations, ensuring accuracy, compliance, and timeliness.

  • Collaborate with insurance providers to process and resolve claims and billing inquiries.

  • Monitor and manage accounts receivable to optimize financial performance and cash flow.

  • Assist with audits and reporting to maintain transparency and regulatory compliance.

Scheduling and Patient Coordination

  • Coordinate and oversee surgical scheduling in collaboration with clinical teams and physicians’ offices.

  • Ensure scheduling accuracy and timely communication with patients, physicians, and staff.

  • Manage cancellations and reschedules efficiently to optimize operating room utilization.

Front Office and Registration Oversight

  • Supervise registration, check-in, and check-out processes, ensuring a smooth and welcoming patient experience.

  • Support staff training and monitor performance for quality and compliance.

  • Ensure that all patient information and insurance data are entered accurately.

Financial Recordkeeping and Reporting

  • Maintain accurate financial and operational records for management review.

  • Assist with budget tracking, expense monitoring, and financial planning.

  • Prepare reports related to billing, collections, and operational efficiency.

Compliance and Documentation

  • Ensure adherence to all regulatory and accreditation standards, including AAAHC, CMS, and HIPAA.

  • Maintain accurate documentation and assist in internal audits and compliance reviews.

  • Keep up to date with healthcare billing and documentation requirements.

Collaboration and Communication

  • Work closely with the Administrator, clinical leadership, and medical staff to ensure coordinated operations.

  • Foster a positive and collaborative work environment focused on patient service and operational excellence.

  • Participate in regular staff meetings to identify process improvements.

Qualifications

  • Associate’s degree required; Bachelor’s degree preferred.

  • Minimum of 5 years of experience in a medical business office (ambulatory surgery center experience preferred).

  • Demonstrated longevity and reliability in past roles.

  • Strong knowledge of billing, insurance, and revenue cycle processes.

  • Familiarity with medical terminology and coding.

  • Excellent organizational, multitasking, and communication skills.

  • Proficiency with practice management and billing software systems.

  • Ability to maintain confidentiality and adhere to compliance standards.
