Summary:
We are seeking a highly organized, detail-oriented, and proactive Credentialing and Administrative Coordinator to support the Chief Executive Officer (CEO), Chief Financial Officer (CFO), and Chief Nursing Officer (CNO) while managing credentialing and contract administration processes. This dual-role position combines executive administrative support, physician credentialing responsibilities, and contract management, requiring excellent organizational, communication, and multitasking skills. The ideal candidate will have experience as an administrative assistant, knowledge of contract management, and a willingness to learn credentialing processes.
Overall Responsibility:
Executive Support:
· Serve as the Executive Assistant to the CEO, CFO, and CNO, providing high-level administrative support.
· Manage calendars, schedule meetings, and coordinate travel arrangements.
· Prepare reports, presentations, and correspondence on behalf of senior leadership.
· Handle confidential and sensitive information with discretion.
Credentialing Specialist Duties:
· Assist in the credentialing process for physicians, ensuring compliance with organizational and regulatory standards.
· Collect and verify documentation, licenses, certifications, and other required credentials.
· Maintain accurate and up-to-date credentialing files and databases.
· Liaise with physicians, medical staff, and external organizations to facilitate the credentialing process.
Contract Management:
· Oversee and manage contracts related to organizational operations.
· Ensure contracts are reviewed, tracked, and renewed in a timely manner.
· Collaborate with legal and administrative teams to address contract-related issues.
· Maintain organized contract records and ensure compliance with internal policies.
General Administrative Duties:
· Maintain and organize physical and digital files for ease of access and compliance.
· Draft, edit, and distribute correspondence, including letters for credentialing and affiliation verification.
· Take detailed and accurate meeting minutes, distributing them promptly to stakeholders.
· Handle incoming calls and emails, redirecting them as necessary.
· Support additional projects and tasks as assigned by leadership.
Required Skills:
Qualifications:
· Minimum of 2 years of experience as an administrative assistant, preferably in a healthcare or corporate environment.
· At least 1 year of experience in contract management.
· High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
· Strong organizational skills and attention to detail.
· Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
· Excellent verbal and written communication skills.
· Willingness to learn and develop skills in credentialing processes
Required Experience:
Physical and Environmental Requirements:
· Work is performed in a temperature-controlled office environment.
· Requires sitting for extended periods, with occasional lifting of up to 30 pounds.
· Extensive use of computers and typing for up to 6-7 hours per day.
· Potential minimal exposure to blood and body fluids, as well as infectious diseases.
· Must have near, mid-range, and far vision accommodation, and hearing capability for low, medium, and high pitches.
Licensure and Certification:
· None required; training for credentialing responsibilities will be provided.
Supervisory Responsibilities:
· This position does not have direct supervisory duties but may act as a mentor or coach within the department.
