Welcome to Cibolo Creek Surgery Center

We have 3 OR rooms and 1 Treatment room. We perform outpatient surgical procedures in Orthopedics and Podiatry. Position requires weekdays only -- no holidays, weekends, or call. Some early mornings and later evenings may be required; schedule subject to change based on surgical schedule and flow of the day.

Job Summary Coordinator 

This role is essential in supporting the day-to-day operations of our business office, ensuring efficient administrative processes and exceptional patient service.
As part of our collaborative environment, the Business Office Coordinator will handle a variety of responsibilities, including scheduling, insurance verification, billing, collections, and patient account management. The ideal candidate is proactive, adaptable, and thrives in a fast-paced healthcare setting.
• Coordinate daily business office activities, ensuring smooth operational workflow.
• Maintain patient accounts, processing and posting payments and reconciling accounts as needed.
• Will be responsible for AP data entry  
• Assist with month-end close processes, including preparing necessary reports and documentation.
• Ensure compliance with HIPAA regulations and other applicable healthcare standards.
• Provide exceptional customer service to patients, families, and vendors.
• Support management with special projects and initiatives as assigned.
• Insurance verification; calling patients with amount due.
• Following up and verifying authorizations. 
Job Summary Scheduler 
Under the direction of the Business Office Manager, is responsible for daily maintenance of the surgery schedule and all aspects of the scheduling process. This includes strategizing and problem solving and ensuring high levels of customer service with scheduling coordinators from all doctors’ offices and Operating Room Staff. Successful candidates will possess outstanding leadership, communication and customer service skills as well as the ability to diffuse difficult scheduling conflicts efficiently with strategy. The successful candidate should be able to demonstrate previous successful/positive customer service encounters or programs.
• Sets priorities and organizes work
• Schedules patient procedures to ensure efficient and accurate processing of information. This includes procedures in the operating room, GI lab, and arrangements for 23-hour stay.
• Coordinates with anesthesia groups to confirm scheduling for coverage.
• Accurately uses procedure codes to ensure proper billing.
• Verifies information being entered into system is correct, i.e. spelling of name, DOB, gender, insurance information, etc.
• Ensuring all necessary paper work for any patient -add on'' is received by the appropriate staff.
• Communicates changes to schedule to appropriate staff
• Communicates and coordinates Anesthesia scheduling
• Confirms with Vendors daily 
• Ensures all required fields in Advantix (HST) are completed
• Works closely with OR director to avoid equipment or supply conflicts.
• Alerts administration when new doctors or procedures are scheduled.
• Cross trains with other areas.
• Other duties as assigned.
• Completes consent(s) and ensures accuracy before submitting to the chart builder.
• Promote positive relationships with scheduling coordinators, physicians and nursing staff members throughout the scheduling process.

Qualifications

  • Must be a high school graduate. Bachelor's degree preferred.
  • 3-5 years of supervisory experience in a medical setting such as a hospital, physician's office, or surgery center.
  • Experience in accounts payable and receivable.
  • Experience in Revenue Cycle
  • Experience in billing
  • Experience in denial management
  • POS experience
  • Experience working with physicians is desirable.
  • Must have knowledge of medical terminology.
