Full-Time Supply Chain Coordinator

No Weekends, No Call, No Holidays

Bon Secours Surgery Center at Harbour View is seeking a Full-time Supply Chain Coordinator.  We are a busy multispecialty surgery center serving Northern Suffolk and an affiliate of United Surgical Partners International (USPI).  USPI’s mission is to care for each patient and their family as if they were our own.  Each patient, each family, each and every time. 

The Supply Chain Coordinator is responsible for managing the procurement, inventory, distribution, and cost-effective utilization of medical and non-medical supplies throughout the Ambulatory Surgery Center (ASC). This role ensures the availability of supplies and equipment necessary for patient care and surgical procedures while maintaining regulatory compliance, supporting physician and staff needs, and optimizing inventory levels to control costs.

Essential Duties and Responsibilities:

Inventory Management

·Maintain accurate inventory levels of surgical, clinical, and office supplies.

·Conduct regular inventory audits, cycle counts, and reconciliation activities.

·Monitor supply usage trends and adjust stock levels accordingly.

·Ensure appropriate par levels are established and maintained for all departments.

·Identify and address inventory shortages, overstock situations, and expired products.

Purchasing and Procurement

·Order supplies, implants, instruments, and equipment in accordance with approved purchasing procedures.

·Research products and vendors to ensure quality, cost-effectiveness, and operational efficiency.

·Review purchase orders, invoices, packing slips, and receiving documentation for accuracy.

·Collaborate with vendors to negotiate pricing, resolve discrepancies, and manage product substitutions.

·Assist with capital equipment and supply budget planning.

Supply Distribution and Logistics

·Receive, inspect, and distribute supplies throughout the facility.

·Ensure proper storage and rotation of inventory following infection prevention and manufacturer guidelines.

·Coordinate delivery schedules and monitor vendor performance.

·Maintain organized stockrooms and supply areas.

Operational Support

·Work closely with clinical leadership, physicians, sterile processing personnel, and surgical staff to anticipate supply needs based on procedure schedules.

·Support special-order requests for surgical procedures.

·Monitor backorders and identify suitable alternatives to prevent disruptions in patient care.

·Participate in value analysis initiatives and cost-reduction projects.

Compliance and Quality

·Ensure compliance with ASC policies, accreditation standards, and regulatory requirements.

·Maintain required documentation for product recalls, expirations, lot numbers, and inventory controls.

·Assist with audits and inspections conducted by regulatory agencies and accrediting organizations.

·Follow established safety, infection prevention, and hazardous materials handling protocols.

Qualifications

·High school diploma or equivalent required.

·Associate degree in Business, Supply Chain Management, Healthcare Administration, or a related field preferred.

·Minimum of 2 years of inventory management, purchasing, or supply chain experience required.

·Healthcare, ambulatory surgery center, hospital, or surgical services experience preferred.

·Experience with medical supplies, surgical instrumentation, and implant inventory strongly preferred.

·Knowledge of healthcare supply chain operations and inventory control practices.

·Strong organizational and time-management skills.

·Ability to manage multiple priorities in a fast-paced clinical environment.

·Proficiency with inventory management software, purchasing systems, Microsoft Excel, and other Microsoft Office applications.

·Strong analytical, problem-solving, and customer service skills.

·Excellent verbal and written communication skills.

·Ability to maintain confidentiality and professional relationships with vendors, physicians, and staff.

·Ability to stand, walk, bend, and lift supplies throughout the workday.

·Ability to lift and carry up to 50 pounds with or without reasonable accommodation.

·Ability to move inventory and transport supplies throughout the facility.
