Executive Assistant at Baylor Scott & White Medical Center - Trophy Club:

·The Executive Administrative Assistant will work directly with C-level executives and will be responsible for performing a number of administrative duties.

·The ideal candidate is highly self-motivated, professional, and capable of confidentiality and managing their work load and prioritizing tasks in a fast-paced corporate environment. 

Qualifications

Education:

·High school graduate or equivalent.

·College degree preferred

Required Experience:

·Minimum 2-3 years’ experience as an Administrative Assistant reporting directly to senior management

Principal Duties and Responsibilities:

Administrative Support:

·Manage and maintain the executive’s calendar, scheduling meetings, appointments, and travel arrangements.

·Prepare reports, presentations, and correspondence on behalf of the executive.

·Handle incoming and outgoing communications, including emails, phone calls, and memos.

·Responsible for performing administrative duties that require discretion and independent judgment

Meeting Coordination:

·Schedule meetings and appointments and manage travel itineraries

·Organize and prepare agendas for meetings, taking minutes, and following up on action items.

·Coordinate with internal and external stakeholders for meetings, events, and conferences.

Project Management:

·Assist in managing special projects and initiatives, ensuring deadlines are met.

·Conduct research and compile data to support decision-making.

Contract Management:

·Review and track contracts, agreements, and legal documents.

·Maintain an organized contract database and ensure timely renewals or terminations.

·Coordinate with compliance teams to ensure contract accuracy and compliance with company policies.

Confidentiality and Discretion:

·Handle sensitive information with the utmost confidentiality.

·Act as a trusted liaison between the executive and internal/external stakeholders.

Office Operations:

·Oversee office supplies, vendor relationships, and general administrative tasks.

·Support in organizing company events and team activities.

Knowledge, Skills and Abilities

·Ability to sustain a level of professionalism with all personnel

·Excellent communication and people skills

·Advance MS Office skills with the ability to become familiar with firm-specific programs and software

·Strong organizational and problem-solving skills

·Ability to maintain a strict level of confidentiality
